Each platform solved a separate task, making administration difficult and creating challenges with data synchronization, booking management, and user coordination.
The client needed a centralized system that would consolidate all business operations into a single place while supporting tutors, students, and administrators within a single ecosystem.

After analyzing the existing infrastructure, our team offered a more comprehensive solution: building a scalable ERP platform with a new architecture, a unified admin environment, centralized lead management, and an advanced appointment booking system.
Role-Based Admin, Tutor, and Client Portals
The platform is organized around three clearly defined user roles. Admins have full visibility into client and tutor records, booking statuses, and platform health. Tutors manage their own profiles, skills, working hours, and time zone settings, and can mark specific periods as unavailable using the events feature. Clients browse tutor availability, book and manage their sessions, and handle payments, all within a guided, accessible interface.

Flexible Booking and Subscription Management
Clients can book individual one-off sessions, free or paid depending on configuration, or enroll in weekly recurring subscriptions by selecting multiple days and times. The subscription engine includes business rules to automatically detect and resolve conflicts: if a client already has a session with another tutor at a given time, or if a slot becomes unavailable, the system blocks the booking and guides the user to a valid alternative.

Intelligent Time-Zone-Aware Scheduling Engine
We built an appointment system where tutors define their working hours, breaks, and buffer times in their local time zone. The platform converts all availability into UTC for storage and comparison, then surfaces slots to clients in their own local time, eliminating double-booking and time-zone confusion entirely. Slots are categorized in real time as free, busy, or unavailable, giving clients an accurate, up-to-date view of tutor availability without manual intervention.

Payment Integration with Smart Refund and Cancellation Logic
Every booking flows through an integrated payment system with clearly defined rules for cancellations and refunds. The platform enforces a 24-hour advance booking window, preventing last-minute scheduling that disrupts tutors' schedules. Rescheduling and cancellations trigger the appropriate payment or refund action automatically, reducing administrative burden and building trust with clients.

Asynchronous Availability Updates
When a tutor modifies their schedule (adding a break, changing hours, or blocking time via an "event"), the platform asynchronously regenerates all affected availability slots. Clients see updated availability in real time without refreshing or waiting for a manual sync. This keeps the booking experience accurate and frictionless at all times.

Unified SSO and Account System
We replaced the fragmented login experience across multiple WordPress sites with a single sign-on system. Users authenticate once and access all platform features (booking, billing, history, and profile management) under a single unified account. This significantly reduced login friction and improved data consistency across the platform.

Accessible, Purpose-Built UI/UX Design
We designed the platform's interface from the ground up with the end users in mind. Clear visual hierarchy, accessible color contrast, simple booking flows, and plain-language labeling ensure that users of all technical levels can use the platform confidently. We also designed a clean, structured admin panel that makes complex operations like managing hundreds of bookings across time zones approachable and efficient.
